Who we are

Kaitomi is a sole proprietorship based in Calgary, Alberta, Canada, offering AI receptionist services (Kaitomi Concierge) to med spas. This policy explains what information we collect through this website, including the live demo, and how we handle it under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

The live demo ("Talk to our receptionist")

When you use the "Tap to talk" or "Talk to our receptionist" demo on this site, your browser asks for microphone access. If you allow it, your microphone audio is streamed to our voice AI provider, Retell AI, to power the conversation in real time. That audio may be recorded and transcribed by Retell AI to provide the service and to help us review and improve how the receptionist performs. You are told before the call starts that you're speaking with an AI and that the call may be recorded.

We don't use demo call recordings for advertising, and we don't sell them. Retell AI processes this data on our behalf as a service provider; see Retell AI's own privacy policy for how they handle data in transit and storage.

Booking a call

Booking a call through this site uses Cal.com. When you book, Cal.com collects the details you enter (name, email, and any notes you add) to schedule and confirm the meeting, and shares the booking with us. Cal.com's own privacy policy governs how they process that data.

Analytics

We use Cloudflare Web Analytics to understand overall traffic to this site. It's cookie-free and doesn't track individual visitors across sites or build a profile of you.

Retention

We keep information only as long as needed for the purpose it was collected for: to run the demo, to schedule and follow up on a booked call, or to improve Kaitomi Concierge. We delete or anonymize information we no longer need for those purposes.

Your rights under PIPEDA

You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it, subject to any legal or contractual retention requirements. To make a request, contact us at hello@kaitomi.com.
